Presentation Guidelines

Concurrent Sessions | Marketplace of Ideas | Skills Demonstrations | Poster Presentations

To prepare for your speaking role, please see the following details based on the type of presentation/s you will be giving.

Concurrent Session Presentations

Time: Please check the conference website for the exact time and location where you will be speaking. This information will also be available onsite in Mexico City in a conference program book you will receive after checking in at the registration desk.

Duration: Most speakers will have 10-12 minutes to present based on the number of speakers in a session and the instructions of the moderator.  Unless instructed otherwise by your moderator, please plan to speak for no longer than 12 minutes.

Format: Each session will have a moderator who will introduce the speakers, manage the discussion following the presentations, and keep the session to time.  Your moderator may be in touch with you to outline plans for the session in advance of the conference. The general format will be a round of presentations followed by questions and answers with the audience.

Presentation: You may use PowerPoint if you would like. Each room will be set with a computer and projector. PowerPoint slides should be formatted to 16:9 aspect ratio. There will be audio-visual technical support on-site in each room.  If you will be using PowerPoint slides for your presentation, please upload your presentation (.ppt or .pptx files only) in the speaker ready room in Mexico City no later than one hour before your presentation.  All presentations will be recorded and all presentation slides will be made publicly available after the conference.

Handouts: You are welcome to distribute handouts to those who attend your session. All materials must be removed from the meeting room at the end of each session.

Marketplace of Ideas

Time: Tuesday, 20 October 2015 from 15:00 to 17:00

Location: Please check the conference website for specific station assignments.

Duration: The Marketplace of Ideas presentations are short sessions designed to display and discuss materials, program tools, videos, digital innovations, equipment, etc.  Each session will last 12 minutes, followed by three minutes to set up for the next session.  The session will be repeated eight times over two hours. Timing announcements will be made over the PA system.

Set up: Marketplace of Ideas stations will be set up in one large room that conference delegates will be invited to walk around. Each stand will be equipped with:

  • a small table
  • an electrical outlet
  • a flip chart and stand to display information
  • a chair

Supplies and Materials: Please note that you are required to bring all supplies and materials for your session with the exception of the items listed above.

Handouts: You are welcome to distribute handouts to those who attend your session. All materials must be removed from the meeting room at the end of each session.

We encourage you to prepare a session plan for this brief presentation, keeping in mind the objective/s included in your abstract.

Skills Demonstrations

Time: Tuesday, 20 October 2015 from 15:00 to 17:00

Location: Please check the conference website for the location where you will be speaking. This information will also be available onsite in Mexico City in a conference program book you will receive after checking in at the registration desk.

Duration:  The Skills Demonstrations are intended to be short interactive sessions. Each one will be 25 minutes and will be repeated four times over two hours followed by five minutes to set up for the next session.

Set up: Each Skills Demonstration station will be set with:

  • a chair
  • a small able

Supplies and Materials: Please note that you are required to bring all supplies and materials for your session.  All materials must be removed from the meeting room at the end of each session.

Handouts: You are welcome to distribute handouts to those who attend your session. All materials must be removed from the meeting room at the end of each session.

We encourage you to prepare a session plan for this brief presentation, keeping in mind the objective/s included in your abstract.

Poster Presentations

Time: Please check the conference website for the exact time and location where you will present your electronic poster. This information will also be available onsite in Mexico City in a conference program book you will receive after checking in at the registration desk.

General: All posters will be shown for one hour on a digital screen during your assigned presentation time. The posters will also be displayed as part of a rotating show throughout the conference.

Format:
Your poster must be submitted as a 16:9 Power Point (PPT) slide sized to 80 cm wide X 120 cm long.  Please see examples here:

Please include the following information on your poster:
** Upper left corner: your abstract number in 36 pt font and a photograph of yourself.
** Upper right corner: logo of your organization.

Font Size and Type Recommendations: 
Titles and authors: 60 pt font. No more than 21 words.
Section headings: 36 pt font.
Content text: 24 pt font.  No more than 250 words.
Images: There is no limit to the number of images (photos, figures and tables) you may include; however, there are maximum sizes for images:
** Square 30 x 30 cm
** Rectangular 30 x 15 cm

Content: 
Posters should include:
** One central question/ topic: stating the question or hypothesis clearly
** A brief rationale or review of relevant information
** Results with figures, tables and photos
** Clear but brief diagrams and graphics
** A conclusion

Other helpful tips:
** Use bullet points to simplify sections (introduction and conclusions) and make effective use of underlines and boldface type.
** You may use schematic diagrams, graphics, tables and other strategies to make your poster attractive and not too crowded.
** Stick to the most important ideas.  You can provide details via discussion when you are standing by your poster and presenting the information.
